12 lessons from 12 months in the UK

One year of SpacetoCo, live and growing with UK hosts and hirers 🇬🇧

Twelve months ago, we launched in the UK not knowing exactly how the market would respond. A year on, we've worked with councils, community venues and housing associations across the country, and picked up a fair few lessons along the way. Some confirmed what we already suspected. Others surprised us. All of them shaped how we've built the platform for UK hosts and hirers specifically, rather than just porting over what worked in Australia and New Zealand.

Here's what we learned!

 

Lesson 1: The cheapest option isn't always the most cost-effective

A low price tag can mean more admin and missed revenue down the line. Some tools give you a marketplace with no reporting, or bookings management with no marketplace. You need all 3 working together.

 

 

Lesson 2: Getting everyone on board takes work, and it's worth it

Not every stakeholder sees the possibilities straight away. We help our champions build the case internally, because once the ROI is visible, it's easy to prove.

 

 

Lesson 3: The cost of doing nothing is often the highest cost of all

Every day we see UK venue teams spending hours every week on booking admin. This can add up to £1000s every year before counting the missed bookings and errors. Automating it isn't a cost. It's the saving.

 

 

Lesson 4: The UK got the benefit of years we'd already put in

Matching three years of Australia/New Zealand's revenue growth in just 12 months in the UK wasn't luck, it's what years of listening to hosts and hirers, and building alongside them, makes possible.

 

 

Lesson 5: Beware the tool of all trades, master of none

It's tempting to pick a big enterprise name. But purpose-built platforms, built with and for venues, deliver more relevant value and the functionality you actually need, at a much better price point.

 

 

Lesson 6: The right technology lets everyone plan further ahead

We've already got thousands of bookings on the books for 2027 from hosts and hirers planning with confidence.

 

 

Lesson 7: UK VAT is complex, and it deserves a proper solution

From per-booking VAT to full VAT returns, this needs to be handled properly. That's why we've invested a lot into building this functionality for the UK market.

 

 

 

Lesson 8: Financial reporting needs to work the way finance teams do

Purchase orders aren't a nice-to-have for UK hosts, they're how invoices get paid. We built PO support straight into bookings, alongside powerful reconciliation tools to match.

 

 

Lesson 9: Managing internal bookings matters just as much as external ones

UK hosts told us they needed one system for both. We listened, and built the capability in.

 

 

 

Lesson 10: Bookings breed bookings

UK bookings made on the platform for 2026 are already up 86% year-on-year. When hirers and hosts see the potential, the momentum builds itself.

 

 

 

Lesson 11: Hirers just want to find and book, fast

No one enjoys waiting on emails or playing phone tag to check if a space is free. Real-time availability and instant online booking mean the right space gets found and confirmed in minutes.

 

 

 

Lesson 12: Culture is everything
